Job Overview
The Leasing Agent is responsible for facilitating the leasing process for properties throughout the Baltimore and surrounding area. This role involves direct interaction with prospective tenants, property owners, and government agencies, ensuring seamless operations from marketing to lease execution.
Duties and Responsibilities
Marketing and Outreach
· Promote and market all rent-ready properties to attract qualified tenants.
· Maintain knowledge of market, competitors, and make pricing recommendations
· Schedule tours for prospective tenants, showcasing available units.
· Daily and prompt follow up on property inquiries received by the office via phone and/or email.
Record all lead interactions in our CRM
· Includes converting leads into tours by following up with all prospects, preparing lease documents, qualifying prospective residents, and assisting throughout the move-in process by providing top customer service
· Contact and manage a large volume of leads
· Meet or exceed all leasing and occupancy goals
· Leasing Agent is required to submit 10-15 applications per week
· Leasing Agent is required to lease up a minimum of 5 units per month
Leasing Process Management
Perform all duties involving the leasing process including procuring applications, holding contracts, leasing documents, deposits, rent collection, move in inspections and walk through with tenants and recordation of all lead interactions
· Perform pre-leasing property inspections to ensure properties meet required standards.
Schedule tours for prospective tenants throughout the Baltimore area
Travel around the Baltimore Area to show vacant properties
· Procure rental applications, contracts, and leasing documents from interested tenants.
· Process all rental applications within 2 to 3 days of receipt
· Complete lease applications and assist with verification of application information
· Process all applications including the completion of rental verification, employment verification, criminal history verification, credit history verification, home inspections and communication with applicants
· Screen prospective residents to ensure they meet eligibility requirements
· Collect deposits, rent payments and all other applicable fees while ensuring accurate recordkeeping of all transactions.
· Attend lease signings on behalf of PPMI with various government agencies.
· Complete lease signings and renewals in a timely manner.
Tour prospective tenant home before lease approval
· Ensure all required documentation is received prior to the resident’s move in date
· Coordinate with property manager and assistant property manager to make sure all necessary repairs are completed prior to a tenants move in date
Tenant Relations
· Schedule and conduct move-in inspections and walkthroughs with tenants.
· Maintain detailed records of all tenant interactions, including lead follow-up and communication.
Communication
· Provide weekly updates to property owners regarding leasing activity and tenant status.
· Liaise with tenants, owners, and vendors regarding maintenance issues.
· Liaise with residents to provide information and address their complaints and concerns
· View properties and inform maintenance staff of issues
· Coordinate with property manager and assistant property manager on subsidy inspection and application process
· Coordinate with property manager and assistant property manager to update vacancy report weekly
· Participate in weekly staff meetings and collaborate with property management team
· Maintain and store all documentation effectively.
· Record and update details of prospective and existing residents into computer databases
General Responsibilities
· Complete administrative tasks in software system pre & post move-in & move-out
· Perform additional duties as assigned to support the overall leasing and property management process.
Essential Knowledge & Skills Required
Familiarity with fair housing laws and regulations to ensure compliance and avoid discrimination Must be able to multitask in fast past environment
· Experience in multi-family leasing or Scattered Site Leasing required; 3+ years preferred
· Proficiency in AppFolio or similar property management software
· Knowledge of property management marketing and advertising strategies
Proficiency in Microsoft Office Software (excel & word)
Intermediate to advanced computer skills
Excellent verbal and written communication skills
Excellent time management skills
Self-disciplined & motivated
Attention to detail
· Exceptional organizational skills with the ability to mange multiple projects simultaneously
· Ability to work independently and effectively, with a strong sense of responsibility and professionalism
Working weekends and extended hours
Education/Experience
· 2+ years in property management, maintenance coordination, or inspections
· High School Diploma or equivalent.
· Prior general office experience
· 5 years customer service
· Strong sales and marketing aptitude
· Ability to perform minor repairs and assess maintenance needs
· Valid driver’s license and reliable transportation
· Social media expertise is a plus
Hours : Monday – Friday 8am – 5pm with 1 hour required lunch and two Saturdays of each month
